Press Policies

Overview

RAPS welcomes qualified, bona fide representatives of news organizations to attend educational conferences that address new regulatory initiatives or other newsworthy events for the purpose of reporting and publishing articles. Programs and sessions that provide practical training to regulatory affairs professionals are closed to the press, however.

RAPS Annual Conference

  • Advance press registration is encouraged.
  • Registrations will be accepted up to one week in advance of the event.
  • Present your registration confirmation letter at the on-site pressroom to receive your badge and press kit.
  • To register on-site, please go to the pressroom.
  • Two complimentary registrations are granted to each publication.
  • Seating in sessions is provided for paid attendees and open to the press as space permits.
  • A press seating area may be designated.
  • A work area with access to electric outlets is available to press in the pressroom.
  • Meals are not provided to press.
  • Badges are required at all times.

Other RAPS Conferences

  • Advance press registration is encouraged.
  • Advance registrations will be accepted up to two weeks prior or by special permission, if space permits.
  • One complimentary registration is granted to each news organization.
  • Present your registration confirmation letter at the registration desk to receive your badge and press kit.
  • Seating is provided for paid attendees and open to the press as space permits.
  • A press seating area may be designated.
  • Meals are not provided to press.
  • Badges are required at all times.

Audioconferences and Webcasts

  • Advance press registration is required.
  • Advance registrations will be accepted up to five business days before the conference date.
  • One complimentary registration is granted to each news organization; complimentary press registrants may attend the conference at RAPS headquarters, 5635 Fishers Lane, Suite 550, Rockville, MD 20852. Press should arrive at least 15 minutes prior to the start of the conference. Press will be provided with one set of handout materials. To register to attend an audioconference or webcast at RAPS, please contact press@raps.org.
  • Press opting to attend the conference from a site other than the RAPS headquarters will be charged the site fee of $75.00 for an audioconference and $105.00 for a webcast. To register a site for an audioconference or webcast, press should call customer service at +1 800 775 7654 and tell the customer service representative the seminar code, seminar title, seminar date and that they are press. Please note that press registrations can be paid only by credit card. Registration fee includes one telephone connection, one set of handout materials and unlimited participant attendance at your site.

Resources

Conference agendas and speaker biographies will be provided to news representatives. Speaker handouts (not including reference CD-ROMs and attendee rosters) will be available to the press at no cost. They may be quoted but not reproduced in whole or in part without explicit permission from RAPS. They are provided as a helpful resource to news reporters and may not be redistributed or sold.

Cell Phone and Other Noise Interruptions

Cell phones and beepers must be set to mute or turned off while sessions are in progress. Noise interruptions, including keyboarding on laptops, will not be tolerated and will result in immediate expulsion from the room.

Recording

Recording at sessions is allowed for the purpose of taking notes. Permission is needed in advance if the intention is to broadcast any taped sessions, in full or in part. Videotaping is not allowed.

Right of Refusal

RAPS reserves the right to refuse press registration from publications/organizations that fail to meet the criteria as news media or adhere to the procedures set by RAPS.
