Invitation Letter for Visa

RAPS will provide an invitation letter for use in Visa applications to confirmed and fully-paid event delegates.

Your email confirmation will contain a link for you to download the visa invitation letter.

COVID-19 Vaccination Policy

Delegates must provide proof of full COVID-19 vaccination or proof of a negative rapid test taken within 24 hours of travel in order to attend. Unvaccinated individuals or those unable to provide proof of vaccination or a negative rapid test will not be permitted to attend. 

Registration Policies and Procedures

You will receive a confirmation after successfully submitting your registration. Email raps@raps.org if you have not received the email confirmation.
Registrations received without payment will not be processed. 
You may receive the early registration rate until 10 April 2023 . Regular registration rates take effect from 13 April (12:01 am EDT) through 12 May 2023.
  1. Credit card payments (MasterCard, Visa and American Express) are accepted through the online registration system. 

  2. To pay for multiple registrations by check or wire transfer, please contact the RAPS Solutions Center at +1 301 770 2920, ext. 200 or email raps@raps.org

  • A 21% VAT will be charged to all attendees, regardless of your country of origin. If you have a VAT number or if the company or organization you are affiliated with has a VAT number or equivalent tax registration number, please enter it while completing registration.

  • Please observe that the stated VAT number must be valid. Follow the link to check and validate your VAT number.

All cancellation requests must be sent to raps@raps.org by 11:59 pm EDT on Friday, 21 April 2023. All cancellations are subject to an assessment fee according to the schedule below:
 
Requests received by 9 March 2023 at 11:59 pm EDT will be assessed a 10% fee.
Requests received between 10 March and 7 April 2023 at 11:59 pm EDT will be assessed a 20% fee.
Requests received between 9 April and 21 April 2023 will be assessed a 50% fee.
Cancellations received after 21 April are non-refundable, except for documented medical emergencies.
 
Refunds will not be issued for no-shows.

Replacement of a registered RAPS Euro Convergence participant by a business colleague or co-worker with the same membership status will be accepted. A €50 EURO processing fee will apply to all substitutions if notified in writing by 11:59 pm EDT on Friday, 21 April 2023. After Friday, 21 April 2023, no substitutions will be allowed.

RAPS reserves the right to cancel any conference at its sole discretion, whereupon all registration fees will be refunded within seven business days. RAPS is not responsible for travel or other costs incurred because of a cancellation.

  • By registering for this event, you provide consent that your profile will be stored with RAPS and shared with processors for the purpose of doing business with RAPS. You consent to receiving announcements from RAPS and understand that you can opt-out at any time by contacting RAPS. 

You are aware that your name and mailing address will be provided to event exhibitors, and your company and title may be shared with speakers, and that you may opt out of communications with them at any time by contacting them directly.

As regulatory professionals, we have the professional and ethical responsibility to maintain the highest professional conduct standards and embody the RAPS Code of Ethics in our words, actions, and deeds. Consequences for unacceptable behavior may include dismissal from the event. 

RAPS has a zero-tolerance policy for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our meetings. If you witness unacceptable behavior, please contact RAPS staff as soon as possible, either in person or by completing this anonymous form.

Unacceptable behavior is defined as:

  • Harassment, intimidation, or discrimination in any form.

  • Verbal abuse of any attendee, speaker, volunteer, exhibitor, RAPS staff member, service provider, or other meeting guest.

    • Examples of verbal abuse include, but are not limited to, verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any attendee, speaker, volunteer, exhibitor, RAPS staff member, service provider, or other meeting guest.

  • Disruption of presentations, expo hall exchanges or networking events in-person or across a virtual platform. 

  • Presentations, postings, and messages should not contain promotional materials, special offers, job offers, product announcements, or solicitation for services. RAPS reserves the right to remove such messages and potentially ban sources of those solicitations. 

  • Participants should not copy or take screen shots of Q&A or any chat room activity that takes place in-person or virtually.
