How to access your Virtual Workshop

Before the Event:

  • One week before the event you will receive a welcome email that will include the link and passcode to Zoom.
  • The welcome email will also include a link to the workshop materials. 
  • On the day of the event make sure you have both the workshop materials and Zoom open.

During the Event:

I get an error message or cannot complete the installation of the software:

  1. Check your internet connection.  Sometimes interruptions in a connection can cause a download problem.
  2. Try re-downloading the software by clicking on the meeting link again or entering the URL in your browser.
  3. Try re-starting your computer.  Sometimes there are services that may have not started correctly.  A re-start may fix that.
  4. Try using the mobile app of the software for the meeting as an alternative.
  5. If you have some time, contact your IT help or check the virtual solution provider we are using for the virtual event:  GoToWebinar: GoToWebinar's support  OR Zoom: Zoom support

I can't hear anything:

  1. Check your audio source by going into the audio settings in the virtual platform.  You can test your output audio there to make sure it's pointing to the speakers you want it to.
  2. Try re-downloading the software.
  3. If you're using a headset, unplug and plug the headset back in.
  4. Check your audio settings for your PC by going into Audio Settings.
  5. Try re-starting your computer.

I hear an echo:

  1. It's likely that someone has two mics receiving the audio.  Chat with your meeting host to let them know.
  2. If you're using a headset, unplug and plug the headset back in.
  3. You may have two mics or two speakers both receving audio.  You only need one.  If you're using your headset, make sure your PC is not also allowing input.  Check your audio source by going into the audio settings in the virtual platform.  Mute your PC audio if you're using a headset.
  4. Change your audio to the dial in option and dial in with your phone.

I can't see anything:

  1. Your viewer window may be minimized.  Find the settings icon which is typically a blue daisy in GoToWebinar and right or function click to maximize.  In Zoom, there is a square in the upper-right hand corner to maximize the window.
  2. The host may have not shared anything yet.  Chat with them using the chat option to let them know.
  3. Exit and re-download the virtual platform client software.

Additional Zoom Instructions:

When you first connect, you may be placed in a waiting room until the workshop begins. Once the RAPS Staff have started the event, you will be automatically admitted to the Zoom meeting room.
  1. The workshop will launch in the Zoom application. If you have not used Zoom before on your computer, the software will download when you click the link to join the meeting.
  2. You may also download the Zoom Client for Meetings in advance of the workshop from the following URL: https://zoom.us/download

After the Event:

  • After your workshop has completed you will be able to access the recording and all the workshop materials from the RAPS Learning Portal.
  • To access the RAPS Learning Portal log in to https://learningportal.raps.org/ using the same credentials you use for RAPS.ORG.
  • Under “Current Curriculums” you will find the title of your workshop. Select the title.
  • Click on the title or the Start button of the on-demand workshop materials to view the recording and access the handouts.
