Manager, Chapter and Volunteer Relations, Rockville, Maryland

The Manager, Chapter and Volunteer Relations is responsible for maintaining the business structure and day-to-day functions and processes, for chapters and volunteers, to assure effective operations and conformity to RAPS business model and Bylaws. This position is tasked with supporting local volunteers in the execution of high-quality local and regional programs, fueling member engagement and community through RAPS chapter and volunteer programs, and managing RAPS volunteer opportunities. This position reports to the Director of Stakeholder Engagement, but will work collaboratively across all of RAPS’ departments.

Responsibilities include:

  • Volunteer Management
  • Working with staff and volunteer leaders to understand volunteer needs and execute volunteer recruitment and retention activities
  • Overseeing volunteer development and orientation program to expand volunteer capacity.
  • Working with staff, volunteer leader and vendors to create and manage content for the Volunteer Toolkit to ensure volunteers are prepared for their duties.
  • Serving as the primary contact for volunteer opportunity inquiries for internal staff and external stakeholders.
  • Managing the volunteer database (Higher Logic) including data entry, routine maintenance and opportunity development.
  • Serving as the primary contact for volunteer inquiries and communicate available opportunities to members.
  • Tracking volunteer metrics and provide routine reports to appropriate staff through quarterly volunteer manager meetings.
  • Executing organizational volunteer recognition efforts including Volunteer Appreciation Week, Volunteer Spotlight and identify other opportunities to highlight volunteer contributions.
  • Coordinating annual Volunteer Leadership Summit including attendee communications, logistics and appropriate follow up.
  • Supporting chapter leaders as they strive to achieve well defined objectives that are linked to RAPS mission and strategic directions.
  • Managing chapter planning process and provide guidance to volunteer leaders on development of goals and objectives.
  • Developing and managing chapter network annual operating budget.
  • Implementing a 1consistent feedback mechanism (survey/evaluation) to collect valuable market intelligence from chapter activity participants.
  • Providing guidance and support to chapter leaders to deliver effective chapter activities resulting in an increase in meeting attendance and enhanced value for participants.
  • Providing updates and recommendations to staff on handling chapter related processes and provide regular reports on plans/projects. including status, accomplishments, issues and changes.
  • Developing/writing marketing language to promote chapter activities on various platforms.
  • Managing existing LNGs and work with volunteers to launch new ones as instructed by senior staff.
  • Managing the annual chapter application and assessment process and produce chapter profiles.
  • Develoing and distribute the quarterly chapter leader newsletter
  • Monitoring chapter event activities to ensure compliance with applicable regulations and laws, satisfaction of participants and resolution of any problems that arise.
  • Updating and manage chapter policies and procedures and prepare background materials and guidance information for senior staff when appropriate. 
  • Implementing and conducting quarterly chapter leader conference calls
The position requires a solid understanding of the issues and challenges in working with international membership, particularly chapters and volunteers.
Qualifications include:
  • Strong interest and skills in working in a cross-functional team environment
  • Excellent written and oral communication skills
  • Ability to develop and interpret qualitative and quantitative data
  • Established skills in strategic and operational planning, budgeting and financial management/tracking
  • Demonstrated skills in project management
  • Experience and skills in guiding/mentoring and supervising staff and volunteers
  • College degree or equivalent experience
  • 3+ years of experience working with volunteers, preferably with chapters or in general membership role with associations
