ESSENTIAL DUTIES AND RESPONSIBILITIES:

The Meetings Manager is responsible for logistics and program development support for RAPS Convergence (U.S.) and Euro Convergence, including virtual event support the meetings manager is required to travel to Convergence for on-site support.

Responsibilities include:

  • Provide support to director, meetings and educational experiences for RAPS Convergence and Euro Convergence and other events as required, including in-person and digital events.
  • Responsible for set up of abstract and poster submission process and preparing for committee review process.
  • Schedule, attend and distribute minutes from conference planning committee meetings.
  • For Convergence (U.S. event), manage speaker deadlines and ensure all materials are collected and submitted according to established deadlines.
  • For Euro Convergence, work with European event management partner to ensure speaker deadlines are met.
  • Maintain Cadmium data related to the faculty management system, conference mobile app, logistics, survey and website.
  • Maintain internal project timelines and ensure deadlines are met across a multi-functional team.
  • Collaborate with marketing and IT to ensure the event microsites are updated with current information.
  • Work collaboratively with marketing, IT, registration specialist and other education team members to deliver seamlessly integrated member experiences.
  • Under direction from the Director, Meetings and Educational Experiences, coordinate logistics for RAPS Convergence pre-planning and on-site execution including, but not limited to, meeting room sets, audio visual equipment, signage, catering, and vendor communications.
  • Work with registration specialist on details related to registration set up, execution and trouble-shooting.
  • Assist meetings department on project related tasks as needed, working with multi-disciplinary teams throughout the association.

EXPERIENCE AND EDUCATION:

  • Microsoft Office suite knowledge.
  • Experience with database systems.
  • Cadmium CD knowledge (intermediate to advanced).
  • Digital/Virtual event experience required.
  • Exhibit hall operations experience.
  • Goal and multi-task oriented.
  • Excellent interpersonal communication skills.
  • Excellent organizational skills.
  • Three (3) to five (5) years of relevant experience in event management, program development and speaker management.
  • Bachelor’s degree preferred
  • CMP, DES and/or CEM designations a plus.
