Registration Specialist, Rockville, Maryland

The Registration Specialist is responsible for managing the entire event registration lifecycle for multiple workshops (in-person and online), webinars, and major conferences.  The registration specialist is required to travel on-site for major US based conferences and is depended upon to ensure all facets of registration run flawlessly. This position requires individuals who can work both independently and as part of an overall team.

Responsibilities include:
  • Plan, develop and execute registration program operations.
  • Manage day to day operations of the registration process on specified projects including, but not limited to Workshops (both in-person and online), Webcasts and RAPS Convergence (national conference) and Euro Convergence (European conference).
  • Coordinate between internal stakeholders, customers, and vendors in setting up and operating registration.
  • Coordinate with Marketing, IT, and vendors to customize registration websites to reflect the RAPS brand and keep attendees informed or the event’s agenda and ongoing activities.
  • Working with the IT department, create and disseminate reports to serve the needs of internal and external stakeholders.
  • Manage project plan for each registration product to ensure compliance with deadlines and contract terms.
  • Support registration customer service efforts in association with our internal staff and external vendors.
  • Support on-site registration desk at Convergence, supervising vendor, and temporary personnel.
  • Assist in the creation of meeting specifications for Convergence including meeting room sets, catering, signage, temporary personnel, first aid and others as assigned.
  • Expertise and facility with multiple event registration models and systems (Impexium and Cvent preferred)
  • Virtual event registration experience a plus
  • Experience with database systems
  • Microsoft Office Suite Knowledge
  • Experience with HTML
  • Experience with Adobe Creative Suite (mainly photoshop)
  • Strong customer service skills
  • Excellent interpersonal and communication skills
  • Superior organizational skills, ability to work independently
  • Ability to multi-task in a fast-paced environment
  • Strong, demonstrated attention to detail is a must
  • At least three (3) years of relevant experience in a registration role
  • Bachelor’s degree preferred
