Registration Policies and Procedures  

Confirmed Registration  

You will receive a confirmation after successfully submitting your registration. Contact us if you have not received the email confirmation. Registration received without payment will not be processed.  

Visa Invitation Letter  

Once you pay for your registration, the confirmation email will contain a link to customize and download a visa invitation letter.

  1. Credit card payments (MasterCard, Visa and American Express) are accepted through the online registration system  
  2. If you wish to pay by check, wire or ACH transfer please contact us.

Cancellations and Refunds   

All requests for cancellations must be received in writing at [email protected] by 4 January 2027 at 11:59 pm EDT.  

All cancellations are subject to an assessment fee according to the schedule below: 

  • Requests received by 25 November 2026 at 11:59 pm EDT will be assessed a 10% cancellation fee.  
  • Requests received between 26 November 2026 and 4 January 2027 at 11:59 pm EDT will be assessed a 50% cancellation fee, except in cases of documented medical emergencies*.  
  • Requests received on or after 4 January 2027 at 12:00 am EDT will be non-refundable, except in cases of documented medical emergencies*.  
  • Refunds will not be issued for no-shows, except in cases of documented medical emergencies* and must be sent to RAPS within 14 days post-event.

    * Acceptable medical documentation must accompany the cancellation request and include a letter from a physician or telehealth provider indicating the reason for inability to travel (i.e., a photo or document noting a positive health test does not constitute medical documentation). All approved medical refunds will be assessed a 10% processing fee.
Substitutions  

Replacement of a registered attendee by a business colleague/co-worker with the same membership status will be accepted. Substitutions must be submitted in writing to [email protected].

Meeting Cancellation  

RAPS and DIA reserve the right to cancel any conference at its sole discretion, whereupon all registration fees will be refunded. RAPS and DIA is not responsible for any costs incurred due to a cancellation, including travel and lodging.

By registering for this event, you grant full permission to RAPS and DIA to capture, store, use, and/or reproduce your image or likeness, photograph, voice, and comments, and use such content in all media or forms by RAPS, DIA or third parties without compensation or notice, including for promotional or advertising purposes. You also waive any right to royalties or other compensation arising from or related to the use of the images, recordings, or materials. By registering, you release, defend, indemnify and hold harmless RAPS and DIA from and against any claims, damages or liability arising from or related to the use of the images, recordings or materials, including but not limited to claims of defamation, invasion of privacy, or rights of publicity or copyright infringement, or any misuse, distortion, blurring, alteration, optical illusion or use in composite form that may occur or be produced in taking, processing, reduction or production of the finished product, its publication or distribution.

Photography Policy  

Audio or video recording and photography are not permitted at the sessions. This includes the use of AI note-taking apps, smart glasses, or other new technologies. To help enforce this policy, please report any observations of recording to a staff member. Registered press may refer to the press policy for exceptions.

Data Usage Policy  

Upon registering for the event, your profile will be stored with RAPS and DIA and shared with processors for the purpose of doing business with RAPS. You may receive announcements from RAPS or DIA, and you can opt-out at any time by contacting the respective organization.

As a registered delegate, your name, company and title will be provided to event exhibitors and speakers for LinkedIn connections. You may opt out of communication with them at any time by contacting them directly.

Code of Conduct  

RAPS and DIA is dedicated to creating a safe, productive and welcoming forum for all participants—members, volunteers, registrants, speakers, exhibitors, sponsors, staff, technology partners and solutions providers — to engage with one another during our in-person and online events. 

As regulatory professionals, we have the professional and ethical responsibility to maintain the highest professional conduct standards and embody the RAPS Code of Ethics  in our words, actions, and deeds. Consequences for unacceptable behavior may include dismissal from the event.

RAPS and DIA has a zero-tolerance policy for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our meetings. If you witness unacceptable behavior, please contact staff as soon as possible.  

Unacceptable Behavior is defined as:  

  • Harassment, intimidation, or discrimination in any form.  
  • Verbal abuse of any attendee, speaker, volunteer, exhibitor, staff member, service provider, or other meeting guest.  
  • Examples of verbal abuse include, but are not limited to, verbal comments related to gender, sexual orientation, perceived gender or sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any attendee, speaker, volunteer, exhibitor, staff member, service provider, or other meeting guest.  
  • Disruption of presentations, expo hall exchanges, or networking events in-person or across a virtual platform.  
  • Presentations, postings, and messages should not contain promotional materials, special offers, job offers, product announcements, or solicitation for services. RAPS reserves the right to remove such messages and potentially ban sources of those solicitations.  
  • Participants should not copy or take screen shots of Q&A or any chat room activity that takes place in-person or virtually.
